Leave Balance Tracker: Free Download (Excel & CSV)

A leave balance tracker records opening balance, accrual, leave taken, adjustments and closing balance per employee and leave type, in one spreadsheet, so balance questions have a documented answer instead of relying on memory. Download the free Excel or CSV version below.

What This Template Covers

Columns: Employee Name, Employee ID, Department, Leave Type, Opening Balance, Accrued/Added, Leave Taken, Adjusted, Closing Balance, and Remarks.

How to Use This Template

  1. Update it every time leave is approved, not in a monthly batch — delayed updates are exactly how "I thought I had two more days" disputes start
  2. Keep a separate row per employee per leave type (casual, sick, earned), rather than one combined number, so balance questions can be answered precisely
  3. Use the Adjusted column (and Remarks) for anything outside normal accrual or usage — a manual correction, a policy exception — so there's a record of why a balance doesn't match the simple math
  4. Reconcile this against your written leave policy's accrual and carry-forward rules periodically, especially around year-end

When a Spreadsheet Tracker Stops Being Enough

This works while one person can reliably keep it updated. It starts breaking down once more than one person needs to update balances, or once employees expect to check their own balance without asking HR — at that point, see our leave policy in India guide and a proper leave management system, which updates balances automatically the moment a request is approved.

Disclaimer: this is a general template, not legal advice. Review it against your company policy and applicable law before use.

Frequently asked questions

Employee name and ID, department, leave type, opening balance, accrued/added, leave taken, adjustments, and closing balance — one row per employee per leave type.

Every time leave is approved, ideally, not in a periodic batch. The most common cause of leave balance disputes is a tracker that's out of date when an employee checks it.

Yes — a single combined number makes it impossible to answer specific questions accurately (how much casual leave is left vs. earned leave), and most Indian leave policies have different rules per category anyway.

Use the Adjusted column with a note in Remarks explaining why — a manual correction without an explanation is exactly the kind of thing that triggers a dispute later when nobody remembers the reason.

Only if someone shares it with them directly or they ask HR to look it up — this template has no self-service view. A leave management system removes that dependency by letting employees check their own balance directly.
