Attendance Sheet Template: Free Download (Excel & CSV)

An attendance sheet template tracks date, employee, shift, check-in/check-out times, and status in one simple spreadsheet, enough for a small team before a dedicated attendance system makes sense. Download the free Excel or CSV version below.

What This Template Covers

Columns: Date, Employee Name, Employee ID, Department, Shift, Check-In, Check-Out, Status (Present/Absent/Leave/Holiday), and Remarks.

How to Use This Template

  1. Use the CSV version if you just need a simple, portable log; use the Excel version if you want to add formulas (monthly totals, late-arrival counts) on top
  2. Keep the Status column values consistent (Present/Absent/Leave/Holiday) so you can filter and summarize reliably — free-text status entries make reporting much harder later
  3. One row per employee per day is the simplest structure to maintain; resist the temptation to pivot into a wide date-columns-across-the-top layout, which gets unwieldy past a handful of employees

When a Spreadsheet Stops Being Enough

A manual attendance sheet works fine for a small, stable team. It starts breaking down once more than one person needs to update it, once remote or field staff are involved, or once attendance data needs to feed directly into payroll without manual re-entry each cycle — at that point, a proper attendance management system is worth the switch. See our Attendance Management 101 guide for the signs it's time.

Frequently asked questions

At minimum: date, employee name and ID, department, shift, check-in and check-out times, status (present/absent/leave/holiday), and a remarks field for exceptions.

CSV if you just need a simple, portable log that opens anywhere. Excel if you want to add formulas for monthly totals, late-arrival counts, or conditional formatting — both versions have identical columns.

Comfortably up to around 15-20 before manual upkeep (multiple people editing, reconciling errors) starts costing more time than it saves — see our attendance management guide for that threshold in more detail.

Not automatically — it's a manual record, so late marks, absences and overtime would need to be manually factored into payroll each cycle. A connected attendance system removes that reconciliation step.

It can work for a small team, but without geo-location or a check-in app, you're relying on self-reported times — fine at a small scale, a real limitation once accountability for field staff matters more.
