How to Use This Template
- Build the roster at least a week ahead so employees have visibility into their upcoming shifts, not just the day of
- Use the Remarks column to log swap requests and approvals rather than editing the schedule silently — a trail of who swapped with whom matters when a coverage question comes up later
- Keep shift names standardized (Morning/General/Evening/Night) so filtering and headcount-per-shift checks stay reliable
When a Spreadsheet Roster Stops Being Enough
This works for a small, stable shift pattern. It starts breaking down once swaps happen frequently, once multiple managers edit the same file, or once you need the final schedule cross-checked against actual attendance — at that point, a proper shift management system is worth the switch.
